Can We Record a Keynote and Reuse the Footage Afterward?

Almost every event now has some kind of recording running, whether it's for an internal library, a highlight reel, or just documentation. What you're actually allowed to do with that footage afterward is a completely separate question from whether you can record it at all, and it needs to be settled before the event, not after.

Short answer: recording for internal, one-time use is usually fine to ask for. Reusing the footage publicly, repeatedly, or for marketing almost always requires a separate, explicit usage rights agreement, and often an added fee.

Why This Isn't a Simple Yes or No

A speaker's content is their intellectual property and their livelihood. Many keynote speakers earn a meaningful share of their income from paid speaking, and a freely circulating recording of a full keynote can directly reduce future bookings, both their own and, in some cases, other speakers covering similar material. That's the real reason this is rarely a blanket yes.

Internal, limited use is usually the easiest ask. Recording for your own archive, for employees who couldn't attend, or for a single internal follow-up email is something most speakers will agree to, often at no extra cost, as long as it's not posted publicly or used to promote future events.

Public use, marketing use, or repeated use is a different conversation entirely. If you want to post highlights on social media, use a clip in future event marketing, or license the full recording for wider distribution, that's a distinct usage rights negotiation, and it's reasonable for the speaker to ask for additional compensation tied to how the footage will actually be used.

What to settle before the event, not after

Get specific in writing: will there be a recording at all, who owns it, what can it be used for, for how long, and does the speaker need to approve any public-facing clips before they go out. Settling this in the contract avoids an uncomfortable conversation after the event, when the recording already exists and everyone has different assumptions about what's allowed.

FREQUENTLY ASKED QUESTIONS

Can we record a keynote for our own internal use?Usually yes, with the speaker's knowledge in advance. Most speakers are comfortable with limited internal use at no extra cost.

Can we post highlight clips on social media afterward?Only with explicit permission, and often for an additional fee. This falls under public and marketing use, not internal archiving.

Does this vary a lot by speaker?Yes significantly. Some speakers are very open to wide reuse since it helps their own visibility; others are protective of their material. Always ask the specific speaker's terms rather than assuming.
