How the Keynote Speaker Booking Process Works
From first inquiry to signed contract — a step-by-step guide to booking through Amplify Speakers
For many event planners — especially those booking a keynote speaker for the first time — the process feels like a black box. How do you go from “I need a speaker” to a signed contract and a confirmed date? At Amplify Speakers, we’ve designed our booking process to be straightforward, transparent, and as low-friction as possible. Here’s exactly how it works.
Step 1: The Discovery Conversation
Everything starts with a conversation. When you reach out to Amplify Speakers — by phone, email, or through our contact form — we’ll ask you a series of questions designed to understand your event and what you need from a speaker. Key information we’ll gather includes your event date and location, audience profile and size, event theme and goals, desired speaker topic or outcome, format (in-person, virtual, or hybrid), and budget range.
You don’t need to have all of this figured out perfectly before reaching out. Many clients come to us with a general direction and we help them sharpen the brief through conversation. The more context you can provide, the better our recommendations will be — but the process starts wherever you are.
Step 2: Speaker Recommendations & Shortlist
Based on your brief, we’ll curate a shortlist of speakers matched to your specific needs. This typically includes 3–5 options across a range of styles, backgrounds, and price points, along with our honest assessment of why each one fits and where any tradeoffs exist. We’ll provide speaker bios, demo reels, testimonials, and fee ranges for each recommendation.
We don’t just hand you a list and wish you luck. We talk through the options with you, answer questions, and help you think through which speaker is the best match for your specific audience and goals.
Step 3: Availability Check & Hold
Once you’ve identified a preferred speaker, we check their availability for your event date. If they’re available, we can place a soft hold on the date while you complete your internal approval process. Soft holds are typically honored for a few days to a few weeks depending on the speaker’s calendar demand. We’ll be transparent about any competing interest so you can make a timely decision.
Step 4: Fee Confirmation & Contract
Once you’re ready to proceed, we confirm the speaker’s fee, travel requirements, and any additional terms. We then facilitate the contract between your organization and the speaker. The contract covers the speaking fee, travel and accommodation, technical requirements, cancellation terms, and any other engagement-specific details. Amplify manages this process and serves as your point of contact throughout.
A deposit is typically required to secure the booking — usually 50% of the speaking fee, with the balance due closer to the event date. Specific terms vary by speaker and engagement.
Step 5: Pre-Event Coordination
After the contract is signed, Amplify coordinates the pre-event details. This includes introduction to the speaker, scheduling of pre-event discovery calls (where the speaker learns more about your audience and customizes their content), travel logistics, AV and technical requirements, and any other event-specific needs. We stay involved through the event day to ensure everything goes smoothly.
Step 6: The Event
On event day, your speaker arrives prepared, customized, and ready to deliver. Amplify remains available as a resource if any last-minute questions or issues arise. After the event, we follow up with you to get feedback and ensure you’re satisfied with the engagement.
How Long Does the Whole Process Take?
The full process from first conversation to signed contract typically takes 3– 10 business days for straightforward bookings. More complex engagements — involving high-profile speakers, large events, or unusual logistics — may take longer. For events with compressed timelines, we can often accelerate the process significantly. Last-minute bookings (within 30 days of an event) are handled as a priority.
